CAN I CHOOSE MY OWN CATERER?

Yes. We have an approved list of trusted caterers with a variety of cuisine and pricing for you to choose from. If you choose to bring in your own caterer, we require a $500 fee, as well as a certificate of insurance, references and a preliminary meeting to give approval.

 

HOW MANY GUESTS CAN WE HAVE?

We can seat up to 175 guests with a dance floor. We have an open floor plan, so structuring the seating is something that can be coordinated with our staff.

 

CAN WE BRING OUR OWN BEER OR LIQUOR?

Yes! This can be handled by your catering company. All outside liquor/beer must be provided by your caterer. All Vodka, Gin and Brandy spirits must be purchased from Dida’s Distillery. We highly encourage you to use a local craft brewery for your beer needs!

 

DO YOU REQUIRE A WEDDING COORDINATOR?

Yes. Weddings must have a licensed, insured day-of coordinator or wedding planner to ensure the event runs smoothly. Our team will always have a representative on-site to oversee, but will not coordinate vendor arrival or decor installation. 

 

Do i need event insurance?

Yes, we require all events to have event insurance.

 

DO YOU ALLOW MATERIALS THAT SCATTER DURING THE RECEPTION?

We allow bubbles, sparklers (outside building) and glow sticks, but not confetti or birdseed.

 

WILL THERE BE OTHER EVENTS GOING ON AT THE BARREL ROOM DURING MY EVENT?

You have exclusive use of the barrel room and its outdoor patio and green, and there will be no other events going on at the same time.

 

ARE THERE HOTELS NEARBY?

Yes. We have a list of recommended hotels and local B&Bs.

 

CAN WE BRING CANDLES?

Yes, live flame candles are allowed in the barrel room as long as they are ON a table protector/charger. We suggest that guests use battery-operated candles and lanterns at their event to avoid the hassle of live flames.

 

HOW DO I RESERVE THE BARREL ROOM?

Your date is locked in when we have received your signed contract and a 50% deposit. A $750 security deposit is required 60 prior to the event, and the final 50% will be due 30 days before your wedding.

 

HOW LONG DO I HAVE ACCESS TO THE SITE?

When you book the Barrel Room, you have exclusive access to the site for a total of 12 hours. The first six hours are for vendor set-up. The next five hours are for guests to be on property. The final hour is allocated for load-out and cleaning. Guests must depart the property no later than 11 pm. For additional time, please consult with Kelly.

 

CAN WE HANG DECORATIONS FROM THE CEILING?

No, at this time we do not allow hanging decorations from the ceiling.

 

CAN MY PET BE A PART OF THE WEDDING DAY?

Please discuss with the Kelly. Pets are usually allowed outdoors. Keep in mind that weddings are often overwhelming events for animals, and Rappahannock Cellars is not liable for the behavior of your pet.

 

DO YOU PROVIDE CATERING?

We do not provide catering and allow the couples the freedom to hire a caterer of their choice. We do offer a list of our favorite caterers as a courtesy to our clients, but you are not required to hire a caterer from that list. We require that if your choice is not on our list that we get a chance to approve your caterer choice. Please keep in mind we do have a “warming kitchen” for your caterer to use which will include fridges, microwaves and prep areas. Most caterers cook and prepare the food offsite. We have set up dedicated caterer truck parking in the parking area.

 

ARE THERE RESTROOMS ON THE PROPERTY?

Yes – There is an ADA accessible toilet, in addition to two restrooms (three restrooms total)

 

WHAT ARE THE GUIDELINES FOR CLEANUP?

Clients and / or their caterers are responsible for clearing and undressing all tables. This includes collecting and bagging all trash and service items such as cups, bottles, napkins, etc. All the items brought in by the client, including service items and decorations must be either bagged for disposal or loaded and removed at the conclusion of the event. All garbage must be removed and either taken by the caterer, or put in the dumpster. All broken glass and visible debris must be swept up and disposed of.

 

IS THE VENUE AIR-CONDITIONED AND HEATED?

Yes. The barrel room is heated / air conditoined!

 

ARE TABLES AND CHAIRS INCLUDED IN YOUR PRICING?

We have 175 folding wood chairs to accompany fifteen (15) ten foot long farm tables. The tables seat a maximum of 12 guests each. In addition, we have 6 wine barrels for decor. We do not have linens or any other additional furniture. Those equipment rentals can be coordinated through your caterer.

 

IS THERE WI-FI AVAILABLE?

Yes – we have wi-fi setup in the barrel room for your convenience.
